What the record has to carry, and who decides

A landlord's gas safety record is not a form somebody sells you. Regulation 36(3)(c) prescribes what the record has to contain and says nothing at all about how it is laid out, which is why a record written on a phone is the same instrument as one written on a pad.

The renewal date is not twelve months from the day you attended

This is the part that is quietly wrong in a lot of diaries, and it is wrong in the direction that costs the landlord. The obvious rule, twelve months from the day it was checked, is not what regulation 36A says.

Every particular regulation 36(3)(c) lists is checked before a record can be issued, and anything missing is named with the sub-paragraph it comes from. A pad will happily let you sign a record with no registration number on it.

The renewal date is worked out, not guessed

The next deadline is computed from the previous one rather than from the day you attended, so an early check does not quietly walk the landlord's anniversary backwards. Certificates coming up for renewal show against the property.

The record is checkable without an account

Every issued record carries a code, and a landlord, agent or tenant can enter it to see what was issued, by whom and when. It reports what was issued rather than whether it is valid.

Your own qualifications, scheme memberships and insurance are stored with their expiry dates alongside all of it, so a registration coming up for renewal is visible before it lapses rather than after.

What it deliberately does not do, so you find out here rather than later:

  • It does not make you or the record Gas Safe registered. What makes a record valid is the registration behind the signature, and that sits with the scheme. The app carries your number onto the document; it does not check it and it does not talk to the register.
  • It does not write an EICR, an Electrical Installation Certificate or an unvented hot water certificate. A minor electrical works certificate is written here; the rest are different instruments from a single-job form.
  • There is no dispatch, no shared diary and no engineer tracking. It is built for one person who does the work and the admin.
  • There is no offline mode. It needs a connection, and there is nowhere for a record written in a basement plant room with no signal to go until it comes back.

The widely repeated line that a landlord keeps the record for two years is not here in that form, because regulation 36(3)(c) retains it until there have been two further checks and the two year rule covers the case where the appliance has been removed.

What is a gas certificate app?

Somewhere to write the landlord's gas safety record on the job rather than on a pad, with the rest of the paperwork attached to it: the quote, the photographs, the invoice for the same visit. For a sole trader the point is not coordinating a team, it is that the record and the invoice for one visit are not in two different places.

Is there a gas engineer app, or is it a website?

It runs in the browser on your phone, so there is nothing to install and nothing to update. Writing a record on a doorstep is the case it was built around, which is why a part-finished record saves as a draft rather than needing to be done in one go.

Does it issue a CP12?

It writes a landlord's gas safety record, which is the document the law actually names. CP12 is not a statutory form: it stands for CORGI Proforma 12 and is a commercial pad brand. Regulation 36(3) prescribes what the record must contain and says nothing about its layout, so a record carrying the nine required particulars is a record whatever the pad on the van looks like.

How long does a landlord have to keep the record?

Regulation 36(3)(c) requires it to be retained until there have been two further checks of that appliance or flue. The widely repeated two year rule applies where the appliance or flue has been removed from the premises, measured from the date of the last check.

When is the next check due if I attend early?

Regulation 36A(1) treats a check completed within the two months ending with the deadline date as having been made on the deadline date, so the next twelve months run from the original deadline rather than from the day you attended. The app computes the next deadline from the previous one for that reason. Get it wrong and the landlord's anniversary walks backwards a little every year.

Does it track my Gas Safe registration?

Your own qualifications, scheme memberships and insurance documents are stored with their expiry dates, so a registration about to lapse is visible before it does. It does not renew anything for you, it does not verify your number, and it does not talk to the register.

What happens to my records if I stop paying?

You keep access to your own data and can export it. A gas record can be one a landlord relies on for years, and a sole trader has to keep business records well beyond the filing deadline, so software that strands them when a subscription ends is a problem rather than a feature.

Does My Job Goblin tell me whether I am actually making money?

Yes, and that is the half most job software leaves out. It records the quote and the invoice like anything else, then does the arithmetic on top: revenue per available working day, margin per job against materials and subcontractor cost, quote win rate with the range it could really be, and how long customers take to pay weighted by the size of the invoice. Turnover on its own hides all four. No figure is shown on a sample too small to support it. Where there is too little history the card renders nothing, rather than a number with a caveat underneath it.

What is revenue per available working day?

It is what a day of your available time earned, rather than what you charged for a day you worked. Take the money received in a period and divide it by the working days that period held, from the working pattern you set. Hotels have measured this for decades as revenue per available room, because a room nobody booked is revenue that can never be recovered. A Tuesday you did not fill is exactly the same thing. Does it compare my prices against other tradespeople?

No, and that is deliberate. There is no benchmarking against other businesses. Trades publish no prices, day rates or availability in any machine-readable form, so a peer comparison in this market is either a very small sample or an invented one. Every figure compares a trader against their own history. A benchmark against a handful of unrepresentative businesses, or against a number nobody can source, is worse than no benchmark at all.

How much is it?

Why is the free tier so small?

The cap is small on purpose. A free tier big enough to run a trade on has to be paid for by the traders who do pay, and they are one-person businesses on a flat £29 a month with no per-seat fee.
